Step 1: Create a new Variable in forms pro survey

  1. create a new Variable “Source” which will be used to get source of the anonymous survey
  2. For testing, we will place Variable in Subheading

Step 2: Generate code to embed Survey on your website

  1. We can use QR code, simple link or website embedding to distribute our anonymous survey
  2. Here we will embed the survey on our website and use survey response to create a lead-in CRM
  3. Copy the code generated

Step 3: Paste the copied script on to the website page

  1. this script is to render the survey form on the webpage as iframe
  2. But we need to create a place holder in our HTML page

Also, please we need to do some styling otherwise survey iframe will show a link not full Form

  • Now we will add parameter as context in our place holder when rendering the survey

Publish the page and you will see forms pro survey rendering successfully with our source variable value as DVMSKE.COM

In our previous video, We created Personalized and how to map variable using power automate, In this post, we will see how to distribute the personalised survey

  1. There are 2 methods of distributing or sending a personalized survey. When we send a survey which creates an invite token or adds personalized information for recipient example case number
  2. Anonymous survey is distributed using links website placeholders or QR code, which have generic information and before receiving response recipient is unknown.

Check 1: Send Survey using direct Email

  1. Here we have 2 option, we can select a contact user from CRM environment
  2. or send a direct email to an email ID which doesn’t exist in CRM

 3. Then the question arises doesn’t this will be an anonymous survey than Normally it should but when we send email from here, Microsoft forms pro creates an contact in CRM environment and creates an invite for that Contact

So the recipient has a record in CRM Environment and an survey invite is also created for it, that means it is no longer an anonymous recipient

Check 2: Send a Survey using Power Automate

  • We will take an example of when a case is resolved
  • for this Power automate has an OOB template
  • We are using Case Number as a variable and will map variable value in power automate while sending the survey – click here to check how to create and pass variable to Forms pro survey

1st thing to do is create an email template in form pro itself, but it has ha GAP which some customer don’t prefer and jump to create an invite instead,
VARIABLE CAN NOT BE MAPPED WITH SUBJECT IN EMAIL TEMPLATE

Once email template is set , we can configure OOB template ” Send a survey When case is resolved in dynamics 365″

 

Here you will find the action send a survey include all invite and email in one, i.e selecting an email template which was created in point 2. Here you will find the action send a survey include all invite and email in one, i.e selecting an email template which was created in point 2

 

This step is a combination of the invite and send an email where email is sent from the user set in Forms pro.

Check3: Create an Invite using power Automate

  • We will create a new Power automate or edit existing OOB template
  • There will be 2 separate Steps
  1. Create Invitation / create an invite: where we will select our survey and map our case number variable field
  2. Once Invite is successfully created and mapped, we will create an email action to send en email and will fill up the body of the email instead of using a template. This way the small gap we had over not able to map variables in the subject will be filled.

Testing: Every email sent will create a record in Survey invite entity and will be mapped with contact and case.

Forms Pro is an online survey and feedback tool from Microsoft and now as by 1st of July VOC is ending most of the customers are switching to Forms pro. Even it has some design limitation (compared to VOC) yet it is wise division to move to Forms Pro due to it connectivity with all of Power Platform Family.

Typically there are 3 types of Surveys

  1. Personalized Survey
  2. Anonymous Survey
  3. Partial Anonymous or Converted to personalized Survey

1. Personalized Survey

Below is the small example of a personalized Survey, The name itself is self-explanatory the Survey which  is invited using an invite system where each survey is identified using a unique id and information related to recipient can be shown on the survey.

2.Anonymous Survey

Below is the small example of an Anonymous Survey, When a survey is sent anonymously where the recipient is unknown to the system and can be distributed using the anonymous method i.e links , Website , Qr code ETC

3. Partial anonymous or Converted Personalized Survey

When we Pass Session ID or any unique information in the anonymous survey, which can help us identify the recipient and submission of the survey.

Example: The survey recipient example abc@dvmske.com receives an Anonymous survey of 50% discount and while filling up the survey he enters different email 123@dvmske.com

  1. The requirement is to get Recipient Email ID along which Survey Response question email id.
  2. So there will be 2 Question response
    Question 1: Recipient Email (Hidden Question on survey)
    Question 2: Email ID

In This post, we have a scenario where 3rd party Marketing tool which is fully integrated with CRM has a list of emails where they need to distribute Anonymous surveys but there is 1 condition.

Step 1: Add a hidden text question to the survey.

  • As Per the Requirement, we will have 2 Email question in our form
  • 1 of recipient email id that will be hidden, 2nd will be visible email id, that will be filled by Recipient
  • As we have also embedded survey on our website, we will add 1 more hidden field “Survey Source”

Step 2: For Testing adding a variable in Question and passing Parameter in the survey URL

  1. For the testing, we will add Variable Source and Recipient Variable in Source and Recipient Question on Survey
  2. Then passing both the variable in Survey URL parameter

  3. When Recipient submit the Survey we will receive these value with each Response and we can map these Variables with “Survey response questions Responses” in Dynamics 365 crm

In Below example, we are using Source as Email, We can set Source as Website for embedded Survey in our Website

NOTE: THESE 2 FIELDS WILL BE HIDDEN IN ORIGNAL SURVEY

Step 3: Mapping variable to Question Response in Dynamics 365 Once Recipient submits the survey

  • Once Recipient Submits the Survey, Power automate trigger will Generate a Question Response on Receive of Survey Response in Dynamics 365, NOTE: THESE QUESTIONS WERE HIDDEN SO QUESTION RESPONSE  WILL NOT BE AUTOGENERATED.

1. Create new automated flow

  • Create New automated flow
  • Select Common Data service and Action as when a record is created
  • Fill in Environment and entity

3. Get form pro survey Question "Recipient" and "Source"

  1. Add new step List  Records -> Renaming it Get Recipient Question
  2. Add new step List Rec-> Rename it Get Source Question

2. Parse JSON using Survey Response context

  • Selecting Action as Parse JSON
  • Selecting Context Data

  • Now we will generate a schema from the sample , Going to an already received Response record in Dynamics 365
  • Then copy the context and Generate Schema

Step 4: Create New forms pro Survey Question Response to store Recipient and Source Variable Value

  1. Now we have our Received survey Response
  2. Survey Question = Recipient
  3. Survey Question = Source
  4. As our question was hidden and there was no answer, there will not be any Recipient and source Survey Question Response
  5. We will create Recipient and source Question response and associate it with received survey response
  6. To get Source Question identifier and Question for Recipient and Source(replace name) use below expression, As we have used fetch list of record where Question = recipient, we need to take 1 record only otherwise we have to use Apply to all (loop)

Create Power Automate flow to map Forms pro Survey with Lead entity

  • In our previous post, we created a Forms pro survey and embedded it in our website contact us page.
  • In this page, we will capture survey response answers with lead entity fields i.e First name , Last Name, Email, phone number, Organization.

Step 6: Create new Power automate Flow When Forms pro Survey response is created

  • New Flow -> Name it as per requirement, I kept ” convert survey response to Lead”
  • Now Select Action as “When a record is created”

Step 7: Get Survey Response question answers Details in power Automate flow

  • Click Create -> Select Environment for which forms pro survey was created and Entity to map
  • Next step while be selecting connector, here we will not select Forms Pro, but Microsoft forms as a connector to get the response details
  • After selecting Action it will ask to select Survey and then will ask for Identifier which after some research found it need an expression to convert SourceResponseidenifer (you will find value in the record, each record has unique value)

Step 8: Create Lead and Map Survey Question response with lead fields

  • Add new step -> select connector Common data service -> Action as Create a new Record
  • Select environment -> Entity
  • Now map Lead fields with Get response details field

Step 9: Now we will update Forms Pro Survey response with Regarding field and subject

  • Adding a new step to update a record in dynamics 365
  • Select Environment -> entity -> and identifier of survey response on which flow was triggered

  • Mapping all other fields i.e recipient name, email, and regarding field as a lead

Step 2: Creating a simple survey with no Variable ( we will have another post for variable in Anonymous survey)
  • We can use Variable to populate dynamics data from Source or as a parameter, But then it would be considered as a partial anonymous or personalized survey.

  • We will create a simple survey that will ask for name, email, phone number and organization name.

After creating a new dynamics environment, Registering to FormsPro and assigning role to the users, I was assuming we are all set to start creating a survey but when visited the link https://forms.office.com/FormsPro/Pages/DesignPage.aspx we got below message

Check 1 : Get the solution from App source or from admin portal.

Check 2 : Check if user assigned has license assigned for forms pro

  • Visit the admin.microsoft.com and ask global admin to check if license is assigned to correct user / signed user

Check 3 : Check if Application user for forms pro has been created in the environment or not

  • Navigate to Settings -> security -> users -> and search for form pro application user
  • After Successful Provision of forms pro , this application user is created

Step 6 : Set Variable to question with dynamic value from dynamics 365/CDS or share point using power automate

  • We would be setting our custom variable “CaseNumber” created in part 1st in Subtitle i.e Welcome to Dvmske customer expericence survey  – Created for {{Casenumber}}

  • It should look like below when creator preview the survey or when we send this survey as anonymous though link

Step 7 : Create Survey Invite / Send a survey using Power Automate (personalized survey)

There are Two options to distribute personalized survey and each has its own advantage

  1. Send a Survey using email Template
  2. Create a invite and then send survey using email

Send a survey using email template

There is a small limitation which forced me to go for create a invite and then send a email instead of Send a survey

  1. You can not use Variable in Subject of email

  2.  You can create new Email template or use from pre-set , also you can add variable onto the email template using variable drop down

  3. once template is done we will click on Configure a flow , where we will get a pre build template for send a survey when case is resolve, which can be modified.

  4.  Here you will find the action send a survey include all invite and email in one , i.e selecting email template which was created in point 2.

Create an invitation and send email

In this scenario we will not be using default or any email template neither we will use the action SEND A SURVEY

  1. We would be using create a invite action , where we will select our survey and map our case number variable field

  2. Once Invite is successfully created and mapped , we will create an email action to send en email and will fill up body of email instead of using template. This way the small gap we had over not able to map variable in subject will be filled.

    but it has it own disadvantage you have to do formatting your self and it difficult to reach the formatting as given in template.

Testing : When survey is send to recipient on case resolution , it Variable will have case number of recipient.

Creating survey using Microsoft forms pro is simple and easy , easier than VOC as per my opinion, one of the reason is it design limitation and a standard design for all. Normally there are 2 type of survey Personalized , Anonymous and 3rd not so famous partial anonymous. we will cover all of these Click here

Step 1 : Go to Formspro.microsoft.com or forms.office.com for accessing form pro portal or Dashboard or if yo don't have the subscription you can get from here. There will be 2 options
  • New  Survey
  • New Quiz

Step 2 : We will start with creating a Survey , where We asking for feedback from customer once Case is resolved (most common scenario)

  • 1st we will add 1 important variable that is case Number , this can number will be mapped with the recipient to to whom we will create invite for in Power platform.

Step 3 : Set Title of survey and Editing Theme and Design
  • Title and Subtitle : This the gap i was referring , Title of survey will be visible to customer and this title will be name of your survey . ideally there should be an option to specify different Naming convention for creator for identification of survey

  • We can change Theme i.e some Pre Define Colors and Background  or select your own color or image

Step 4 : Adding Questions in the Forms pro Survey
  • Adding Questions : You can divide the form in Sections and then there are 8 type of questions available or you can say 8 input type available for you to setup. and then there will be recommended templates available Microsoft AI.

  • Most interesting is NPS Question (Net Promoter Score)  I.E How likely are you to recommend us to a friend or colleague?

Step 5 : Add Branching Rule i.e if lest then 5 rating
  • Adding Branching rule : We can apply branching rule on questions input i.e if rating selected less then 5 star , show one field provide reason.
